The naturopathic clinical assistant works under the supervision of the Practice Doctor. The NCA assists with the management of the medical office, checks in patients, and takes care of any other matters to effectively run a medical practice. The NCA possesses the knowledge of a holistic medicine practice and promote the lifestyle of health and wellness.
EDUCATION/KNOWLEDGE SPECIFICATIONS:
- Associate’s or Bachelor’s degree required.
- Must have two to three years’ experience working with people, preferably in an office or medical office environment; experience with holistic medicine preferred.
- Must be willing to interact with people on a constant basis.
- Must be available to work some late nights and weekends as needed.
- Must be personable with a professional demeanor and able to exercise courtesy and tact with all patients.
- Possess HIPAA regulations and medical information knowledge and sharing practices.
- Must be willing to receive further training for evaluating blood work, performing particular therapy treatments,etc.
- Must be willing to embrace a holistic health philosophy and be willing to explain to patients how naturopathic and holistic healthcare fits into that philosophy.
- Must be incredibly efficient and organized with the ability to follow directions well.
- Must be proficient with technology with fast typing skills and ability to learn medical and electronic health records software, as well as business management software.
- Self-starter and be able to work with minimal supervision the majority of the time.
- Competent with the following software: MS Word & Excel, Google Drive and GMAIL in a Windows environment.
- Ability to handle multiple tasks at the same time; detailed oriented.
- Ability to prioritize tasks.
- Ability to maintain a high level of confidentiality (HIPAA).
- Excellent oral and written communication skills.
- Ability to work in a team environment.
- Able to support practice practice doctor in delivery care
FUNCTIONAL SCOPE:
Responsible for maintaining and coordinating front and back office related activities as directed by the Practice Doctor.
PRINCIPAL DUTIES AND RESPONSIBILITIES (Essential Job Function *)
- Greets patients, checks them in and reviews their medical histories, and any other relevant medical information.
- Records general diagnostic information including blood pressure, temperature, weight, and height and records this for the doctor’s use in the examination and treatment.
- Tracks labs test kit inventories, manages labs, communicates with patients on lab draws, and follows up with patients about their lab tests in a timely manner.
- Interacts with the lab to retrieve lab results and inputs lab results in software.
- Calls and coordinates with other doctors’ offices for practice member care.
- Updates Electronic Health Record (EHR). Manages medical records, and treatment notes.
- Calls and reactivates dormant practice members.
- Prints reports and provides the reports to the practice doctor within 48 hours of patients scheduled appointments.
- Manages the practice’s office schedule, makes appointments for patients, determines when the Practice Doctor is available and confirms appointments to make sure patients are on time.
- Controls the waiting room, attends to patient needs, and ensures the office runs on time.
- Distributes educational information to patients as instructed by the Practice Doctor.
- Abides by HIPAA laws regarding sharing of personal medical information.
- Answers the phones as needed and addresses all patient questions and concerns.
- Calls in, logs inventories, and administers remedies to patients. Creates appropriate nutraceutical companies purchase orders under the Practice Doctor’s direction.
- Helps keep the office clean and presentable, doing spot cleaning throughout the day and thorough cleaning at the end of each business day. Participates in the opening, mid-day, and closing procedures.
- Extends remarkable customer services to all patients and members.
- Performs miscellaneous job-related duties as assigned.

Physical Conditions
The noise level in the work environment is usually quiet to moderate as the employee works in an office environment, in an individual workstation, using telephone and computer. Employees are required to work mornings and afternoons as required. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.
While performing the duties of this job, the NCA regularly is required to use hands and fingers, handle, or feel objects, tools or equipment; walk, stoop, kneel; talk or hear. The NCA must be able to lift and/or move up to 20 pounds.

A 90-day new hire probationary period will be in effect from the initial date of service. Employees are eligible for a six-month performance evaluation. A bonus incentive may apply based on policy.
